Business Tier Agent
IvanAI Proposal Generator
Creates custom proposals from your templates and deal context. What used to take two days now takes twenty minutes — and reads like it took a week.
The Problem
Proposals win deals. But writing them is the bottleneck between a good meeting and a closed contract.
A prospect says "send me a proposal." The clock starts. Every day between that moment and when the proposal lands in their inbox is a day their enthusiasm cools, a competitor has time to respond, and your deal risks stalling.
The work involved is real: pull together the discovery notes from the call, review the prospect's specific situation, select the right service offerings, customize scope and pricing, write the executive summary that connects their problem to your solution, assemble case studies that match their industry, format everything into a professional document, and route it for internal review.
For most businesses, that's a two to three day process — and it relies on whoever had the discovery call to reconstruct their notes, the proposal writer to have capacity, and the reviewer to turn it around quickly. Any bottleneck in that chain adds days. Some proposals take a week.
Meanwhile, your prospect is talking to two other vendors who might respond faster. Speed isn't everything, but all else being equal, the vendor who sends a sharp, relevant proposal within 24 hours signals competence in a way that a week-late document can't.
How It Works
Ivan builds proposals that read like they were written by someone who was on the call.
Romeo pulls together everything relevant to the deal: meeting notes, CRM data, email exchanges, the prospect's website and public information, their industry context, and any previous interactions. This context package replaces the "let me reconstruct what we talked about" step that delays most proposals.
From your proposal template library, Romeo selects the best fit based on deal type, industry, and service mix. Then it customizes — not just swapping names and logos, but rewriting the executive summary to address this prospect's specific challenges, selecting relevant case studies, and adjusting scope sections to match what was discussed.
Romeo assembles the pricing section based on your rate cards, the discussed scope, and any special terms mentioned during discovery. Line items are generated from your service catalog. Total project value is calculated. Payment terms pull from your standard contracts with any negotiated adjustments flagged.
The completed proposal draft is presented for human review. You see the full document with highlighted sections that were customized from context. Edit anything that needs adjustment — the executive summary tone, a pricing detail, a scope item. Once approved, Romeo formats it for delivery as PDF, web link, or your preferred format.
The approved proposal is sent through your configured delivery channel — email, CRM attachment, or shared link. Romeo logs the delivery in your CRM, creates follow-up tasks, and tracks whether the proposal has been viewed. If a prospect requests revisions, Romeo can generate updated versions with changes tracked.
The OS Underneath
Proposals that learn from every deal.
Memory Continuity
Romeo remembers every proposal it has generated, every revision requested, and the outcome of each deal. When you've closed three similar deals in manufacturing, the next manufacturing proposal automatically reflects what worked — the case studies, the framing, the scope structure. Winning patterns compound.
Verification Gates
Before any proposal is presented for review, Romeo validates pricing against your current rate cards, checks scope items for internal consistency, verifies that case studies are current and relevant, and confirms that the executive summary claims match what was actually discussed. No proposal goes out with stale pricing or irrelevant references.
Fleet Learning
Proposal structures that win deals across deployments inform how Romeo constructs documents. When certain executive summary formats consistently produce signed contracts, those formats get prioritized. When certain scope presentations cause confusion and revision cycles, they get restructured. The system optimizes for closed deals, not just delivered documents.
